This paper explores the application of Soft Systems Methodology (SSM) in establishing a new Digital Transformation Department within Fadak Holding. The primary purpose is to address the challenges arising from undefined job roles and responsibilities, which lead to confusion, reduced productivity, task overlaps, and job dissatisfaction among employees. The research employs SSM’s structured approach, which involves five key steps: identifying and describing the problematic situation, precisely defining the issues, formulating a root definition using CATWOE analysis, developing a conceptual model, and comparing the model with the problematic situation. Data was collected through a detailed analysis of the current state of the Digital Transformation Department, feedback from employees, and a review of existing organizational processes. The conceptual model developed includes specific activities such as drafting clear job descriptions, training personnel, implementing a performance monitoring system, and establishing feedback loops for continuous improvement. The main results indicate that the SSM framework effectively addresses the identified issues by enhancing role clarity, reducing task overlaps, improving productivity, and increasing job satisfaction. The study highlights the importance of regular updates to job descriptions, ongoing training, effective monitoring, and transparent feedback processes. These findings suggest that the SSM approach not only resolves immediate challenges but also provides a sustainable framework for the department’s growth and adaptability in a dynamic organizational environment. This research contributes to the broader understanding of how SSM can facilitate successful digital transformation in large organizations.
